Using MileWiz Enterprise - for Drivers
This guide assumes that you have went through the basic application configuration. It will guide you through the everyday routine of using the application.
Driving
When driving, make sure that the phone where you have MileWiz installed and configured is in the car with you. Driving is usually a great opportunity to put your device on a charger. MileWiz will increase battery usage of your device based on your driving (the more you drive, the more energy it will consume throughout the day). Feel free to switch to and away from the MileWiz application using the home button on your mobile device to turn on some music or start GPS navigation.
Note: you do not need to keep MileWiz on display when driving, it will track your driving even if it’s closed. It is important that you do not quit MileWiz while you are on the move as this may cause an interruption, and thus result in your trip being split in two parts.
After arrival – categorization
A few minutes after you stop driving you’ll receive a notification on your mobile device prompting you to open MileWiz to categorize the detected trip.
When you open the application, by default you’ll land in the Uncategorized screen. If you are anywhere else, you can always tap on the sidebar button ( ≡, in the top-left corner of the screen) to show the sidebar where you can select Trips then make sure you are looking at the Uncategorized trips by checking the tabs at the top:
In this view, you’ll see every trip that is not yet categorized as a form of a thumbnail including the basic trip information (origin, destination, time and distance) as well as a map showing the trip route.
Each trip has several values that can be modified and many of them are pre-filled for your convenience using the default values:
From – the starting point of your trip, it’s automatically detected from GPS
From date – the starting date and time of your trip, automatically detected
To – the finish point of your trip, it’s automatically detected from GPS
To date – the finish time of your trip, automatically detected
Description – any additional comment regarding the purpose of the trip
Place – if your trip ended in a previously entered Place, it’ll appear here
Category – the category of this trip
Vehicle – the vehicle used for this trip, your default vehicle
Expenses – any business expenses that occurred during the trip
There are several ways to set a category of a trip.
Categorizing trips using working hours
If you set your working hours, MileWiz will always categorize the trips that occurred within those hours with the category you selected. Possibly this method can save you hours of categorizing efforts. You can enter a very custom working hours schedule, including multiple shifts a day and different schedule for every day of the week.
Categorizing trips using places
Another option to quickly (and automatically) categorize would be convenient if you frequent the same places time and time again. When you set up a place, you can select a category that should be assigned when the app detects that this place is the end destination of your trip. Note, that it will take more time for you to setup a lot places, compared to working hours. So this option is a good one when your work hours are too flexible or if you frequently go out on business trips outside of your business hours.
Categorizing all uncategorized trips
At the top of the list with your uncategorized trips, there is a small button with text “Categorize all”. Tap on this button, pick a category and the app will automatically categorize all trips you see in this list.
Categorizing trips with swipe gesture
In case the purpose of your driving frequently varies and you cannot easily predict it, a quick option to categorize trips would be to use the swipe gestures. Conveniently swipe to the left for business trips and to the right for personal trips, if your categories are set this way. You can choose your swipe left and swipe right categories by tapping on the cog wheel in the Uncategorized trips screen.
Categorizing trips by tapping
Tap on any uncategorized trip and you will be presented with a list of options – first 2 options will be you 2 most frequent categories.
Trip details
When in the list with uncategorized trips, if you tap on the trip thumbnail instead of swiping on it, you’ll see a menu appearing where you can choose to:
categorize the trip as either of your pre-selected categories accessed via swipe (result is the same as if you were to swipe on the trip),
see the trip in detail,
duplicate the trip,
delete the trip,
close the menu.
If you are in the list with your categorized trips, tapping on any trip will directly open Trip details.
Tap Details to enter the Edit Trip mode. Here you can modify the trip completely – view the full-sized map, change the destination details, add Description change the Place assigned to the trip, assign a Category and Tags, change Driver and Vehicle as well as optionally Add Expenses to the trip.
If you find yourself entering this view often but only assigning a Category, remember that you can achieve the same effect by swiping on the trip to either left or right in the Uncategorized screen – you should enter this view only if you need to modify more details of the trip.
Merging trips
You might find at one point that perhaps due to a stop at a gas station, MileWiz detected two trips: from your office to the gas station then another one from the gas station to your destination.
If you want MileWiz to recognize this as one big trip, do not categorize the first trip until you finish your entire journey. Once you do and you see two trips you want to merge in the Uncategorized section, just pinch them with your fingers to bring them together. MileWiz will recognize this gesture and allow you to merge the trips. The result will be one big trip that you can now categorize to your liking.
There are several cases where an interruption like this is likely to happen:
you stopped moving for over 5 minutes
traffic is congested and you are moving too slow for MileWiz to consider that you are driving
you entered a tunnel with no GPS signal (including underwater tunnels)
you quit MileWiz while driving
Categorized trips
Once you have categorized a trip you’ll notice that it has disappeared from the Uncategorized section. If you do notice that – don’t worry! It’s actually good – you should strive towards maintaining the Uncategorized trips section clean (think of it as Inbox Zero in e-mail).
You can always review and modify the categorized trips if you switch to All trips using the tabs at the top:
Using Places
Tap on the sidebar button in the top left corner of the screen to reveal the sidebar then tap on Places to access this feature.
Places is a feature that allows you to assign a name to a specific location (address) that you visit often and ultimately have MileWiz automatically categorize trips to that location.
To begin tap on the + button. You’ll be asked for the name of the place (any name that will allow you to recognize it) and the address of the place. If you want trips to this location be automatically categorized, leave the switch enabled then fill out the rest of the form (the fields that apply – you don’t need to fill out all of them). If you don’t want this trips to this place be automatically recognized, disable the option then tap Done.
A good idea for a Place is your home. Trips from and to home are considered commute and are neither tax deductible nor reimbursable so you might want to auto-categorize them as Personal.
Modifying Vehicles
If at any time you need to modify the vehicles you’ve set up during the initial setup, choose Vehicles from the sidebar. Here you’ll see a list of your current vehicles with all the details, including the photo if you have added one.
Tapping on Edit will allow you to modify any detail of the vehicle. Deleting can be achieved using the Delete button. Deleting vehicles that are assigned to existing trips is not allowed.
The plus button allows you to add new vehicles.
Accessing other settings
If you choose Settings from the sidebar, you’ll be able to set or change your Working hours, change your MileWiz account password as well as access the about and help section of the application.
